How I Became a Property Manager: The Story Behind KNR Property Management

I did not set out to become a property manager.

In fact, if you had asked me years ago where I thought my real estate career was headed, property management probably would not have made the list.

I had already spent about ten years working as a real estate agent before becoming a broker. In 2015, Kristen and I opened Rabell Realty Group in Gainesville, Florida.

We were focused on helping people buy and sell homes, serving our clients, and growing our real estate brokerage.

Then our past clients started calling.

How Our Property Management Company Got Started

Over the years, we had helped clients purchase homes and investment properties throughout Gainesville and the surrounding North Central Florida communities.

Some of those clients eventually moved away.

Others decided to keep their homes as rental properties.

And they started asking us the same question.

“Will you manage my property?”

At first, we resisted.

Property management is very different from helping someone buy or sell a home.

A real estate transaction has a beginning and an end. Property management is an ongoing relationship involving property owners, residents, maintenance, leasing, inspections, accounting, emergencies, and a seemingly endless number of things that can happen to a house.

We understood the responsibility that came with taking care of someone's investment.

But the calls kept coming.

Eventually, we decided to give property management a try.

One property became several.

Several became more.

And slowly, the property management side of our business began to grow.

Then came February 2020.

The Willie Nelson Concert That Changed My Career

I was at a Willie Nelson concert in St. Augustine when I received a phone call.

The new property manager we had hired told me that he couldn't handle the job.

He was returning to his previous employer.

And he had left the property management phone at the office.

I wish I could tell you I shrugged my shoulders and enjoyed the rest of the concert.

I did not.

Instead, I spent the evening thinking about that phone sitting alone in our Gainesville office.

What if a resident had an emergency?

What if a pipe burst?

What if an air conditioner stopped working?

What if someone needed us and no one answered?

By Sunday morning, I couldn't stand it anymore.

I drove back to Gainesville, picked up the property management phone, and took over.

I have been carrying the torch ever since.

Thankfully, I did not have to carry it alone for long.

Some incredible people joined us along the way.

Sianne, Amanda, Karen, and the rest of our team have helped build KNR Property Management into the company it is today.

There is no version of our story where I did this by myself.

Why I Fell in Love With Property Management

Something unexpected happened after I became more involved in the day-to-day operations of the company.

I realized I genuinely enjoyed the work.

I enjoy helping rental property owners keep their homes occupied, maintained, and cared for while their real estate investments have the opportunity to grow over time.

I enjoy talking with residents.

People move to Gainesville and North Central Florida for all kinds of reasons.

They come for the University of Florida, UF Health, new jobs, school, family, retirement, or simply a change of scenery.

Others are leaving the area and need someone they trust to take care of the home they are leaving behind.

Property management allows us to become part of those transitions.

And sometimes, renting is only one chapter of someone's story.

We have built relationships with real estate agents we trust so that when one of our residents decides they are ready to explore homeownership, we can connect them with someone who can help them take that next step.

I love being part of that process.

Property Management Is About Homes and People

The longer I worked in property management, the more I heard from property owners and residents about their previous experiences.

Some were good.

Many were not.

I heard stories about phone calls that were never returned, maintenance issues that went unanswered, owners who had no idea what was happening with their rental properties, and residents who felt like no one was listening.

I knew we could do better.

That became one of the reasons I leaned so heavily into this side of the real estate business.

Yes, a rental property is an asset.

Our job is to help owners protect that asset, maintain it, keep it rented, control expenses when possible, and position the property for long-term success.

But a rental property is also someone's home.

There are real people on both sides of property management.

I believe you can protect the interests of a property owner while still treating residents with kindness, fairness, and respect.

The two are not mutually exclusive.

In fact, I believe good property management requires both.

The Part of Property Management No One Warns You About

Property management is never boring.

You never know exactly what will happen when you walk into the office in the morning.

There are maintenance emergencies, leasing challenges, strange discoveries during inspections, unusual phone calls, unexpected animals, lost keys, mysterious noises, and situations that occasionally leave an entire office staring silently at each other.

Then someone starts laughing.

We have learned a lot over the years.

Sometimes the lessons were expensive.

Sometimes they were stressful.

And sometimes they became stories that will probably be told in our office forever.

But every year, we get better.

We improve our systems.

We learn from mistakes.

We add services.

We find better ways to communicate.

And we continue building a team of people who care about the work we do.

Growing KNR Property Management Across North Central Florida and the Nature Coast

Today, KNR Property Management continues to serve rental property owners and residents throughout Gainesville and the surrounding North Central Florida communities.

But we are also growing.

As I spend more time throughout this part of Florida, I see communities where property owners need professional, responsive property management services.

We are expanding westward into Williston, Inverness, Crystal River, and the surrounding areas.

We are also looking for new services we can provide, new ways to help property owners, and opportunities to improve the experience of renting and owning investment property.

This business has become a genuine passion project for me.

I enjoy coming to work.

I enjoy meeting property owners.

I enjoy talking with residents.

I enjoy watching our team grow.

And I enjoy knowing that the work we do helps protect people's investments while taking care of the homes where other people live their lives.

Still Carrying the Torch

Property management was never part of my original career plan.

It grew because our clients asked us for help.

I stepped into it because someone left a phone sitting in an office and I couldn't stop worrying about who might need us.

I stayed because I discovered that I loved the work.

More than six years later, I am still carrying the torch.

Fortunately, I am no longer carrying the emergency phone by myself.

We have an incredible team for that now.

And we are just getting started.

How Often Should a Rental Property Be Inspected?

One of the most common complaints I hear from rental-property owners looking for a new property-management company is surprisingly simple:

“My property was never inspected.”

Sometimes the owner has gone years without seeing current photos of the home. They do not know how the tenant is caring for it, whether small maintenance concerns are developing, or whether the property still looks the way they remember it.

That has never sat well with me.

A rental property is a significant investment. Handing over the keys should not mean losing sight of its condition until the tenant moves out.

At KNR Property Management, we conduct routine inspections every quarter. For most professionally managed rental properties, I believe inspecting approximately four times per year provides the right balance. It allows us to stay familiar with the property and catch developing concerns without unnecessarily disrupting the tenant’s enjoyment of their home.

How Often Should a Landlord Inspect a Rental Property?

There is not one inspection schedule that is right for every property. The ideal frequency can depend on the age and condition of the home, the terms of the lease, local requirements, and whether there have been previous maintenance or tenancy concerns.

As a general property-management practice, I recommend inspecting a rental property quarterly.

Once or twice a year may be appropriate in some situations, but a lot can change in six or twelve months. A slow leak, an air-conditioning problem, excessive moisture, or an unreported maintenance issue can become significantly more expensive when no one sees it early.

Quarterly inspections give us four opportunities each year to:

Document the current condition of the property.
Identify maintenance concerns before they become emergencies.
Confirm that the home is being cared for appropriately.
Talk with tenants about anything they may not have reported.
Recommend future improvements to the property owner.
Create a reliable photographic history of the home.

The goal is not to look for reasons to get a tenant in trouble. The goal is to protect the property, communicate with the resident, and prevent manageable concerns from becoming expensive problems.

How KNR Organizes Quarterly Property Inspections

Managing hundreds of homes and student bedrooms requires a system.

We divide our portfolio geographically into quadrants based on property addresses. Each month, our inspection team focuses on a different area. When a property’s quadrant comes up in the rotation, we schedule its quarterly inspection.

This allows our team to move through Gainesville and the surrounding communities efficiently while keeping each property on a consistent schedule.

During an inspection, we take photos of what I call the good, the bad, and the ugly .

If the tenant is keeping the home beautifully, we want the owner to see that. If there is normal wear and tear, we document it. If we notice damage, excessive clutter, an unauthorized animal, unsanitary living conditions, or another concern, we document that as well.

Owners should not only hear from their property manager when something has gone wrong. They should have an ongoing, accurate understanding of how their property is doing.

What Do We Look for During a Rental Property Inspection?

A routine inspection is different from a formal home inspection performed during a real-estate transaction. We are not opening walls or providing an engineering report.

We are performing a visual review of the accessible areas of the home and looking for signs that something may require additional attention.

Depending on the property, we may look at:

The general cleanliness and condition of the home.
Visible plumbing leaks or moisture.
Water staining around ceilings, cabinets, sinks, tubs, and toilets.
The condition of the air-conditioning system and filter.
Signs of a clogged or slow HVAC drain line.
Smoke detectors and other visible safety concerns.
Doors, windows, walls, flooring, and fixtures.
The condition of appliances.
Exterior maintenance concerns.
Excessive clutter or possible hoarding conditions.
Unauthorized occupants or animals.
Maintenance concerns the tenant has not yet reported.
Improvements that could strengthen the property’s rental value.

We also photograph the property so there is a time-stamped record of what we observed.

Those photos are helpful in several ways. They allow the owner to see the condition of the home, help our maintenance team understand a reported problem, and provide a documented history that can be referenced later.

Early Detection Can Prevent Expensive Repairs

Some of the most valuable things we find during inspections do not look dramatic yet.

That is exactly the point.

For example, a tenant may mention that the air conditioner is still cooling, but it does not seem to be working quite as well as it normally does. That gives us the opportunity to check for an obvious issue, make sure the filter is not severely clogged, and determine whether the drain line may need attention.

A partially blocked HVAC drain line can sometimes be addressed before it backs up, shuts down the system, or causes water to overflow into the home.

We have also found water heaters with small amounts of water beginning to pool around them. The heater had not completely failed, and the tenant may not have considered it an emergency. However, catching that moisture early gave us an opportunity to investigate and make a repair before the owner was dealing with a major leak and possible damage to flooring, drywall, or surrounding belongings.

Small issues do not always stay small.

A slow drip under a sink can damage a cabinet. A minor roof stain can be the first indication of a developing leak. A loose toilet can eventually affect the flooring underneath it. Excessive moisture can lead to conditions that are much more difficult and expensive to correct.

Quarterly inspections help us find the warning signs.

Tenants Do Not Always Report Maintenance Problems

Most tenants want to take good care of their homes, but not every tenant knows what should be reported.

Some residents assume a small leak is not important. Others become accustomed to an appliance that is not functioning correctly. A tenant may not know that condensation, discoloration, a running toilet, or a change in the way the HVAC system sounds could indicate a larger issue.

Many of our tenants are home during their inspections, which gives us a valuable opportunity to talk with them.

We can ask whether everything is working properly and remind them how to submit a maintenance request. We can explain that reporting a concern early is not an inconvenience to us. In fact, we would much rather address something while it is manageable.

That early communication is good for the tenant, the owner, and the property.

The tenant receives a quicker solution. The owner may avoid a larger repair. Our team can coordinate the work in an organized way instead of responding after the problem has become an emergency.

Rental Inspections Should Not Feel Like an Ambush

Tenants have a right to feel comfortable in the home they are renting. Routine inspections should be handled professionally, respectfully, and in accordance with the lease and applicable law.

Florida law permits a landlord to enter a dwelling from time to time for purposes that include inspecting the premises. It also states that the right of access may not be abused or used to harass a tenant. Florida’s statute specifically defines at least 24 hours as reasonable notice for entry for repairs, although the precise circumstances surrounding inspections and entry should always be evaluated carefully.

At KNR, we ordinarily provide advance notice and communicate the inspection window so residents know when to expect us.

Whenever possible, we explain why we are coming and what the inspection will include. We are not there to search through anyone’s personal belongings. We are there to visually review the condition of the property, document what we see, and identify maintenance needs.

A good inspection program protects the property without forgetting that the property is also someone’s home.

Inspections Help Owners Plan Capital Improvements

Inspections are not only about finding damage or repairs.

They also help us recognize opportunities.

We may notice that flooring is approaching the end of its useful life, that an older fixture is making the property look dated, or that a particular improvement could help the home compete more effectively with nearby rentals.

If we identify that opportunity while the tenant is still living in the home, we can discuss it with the owner before the lease ends.

That advance notice matters.

Instead of discovering everything after move-out, we may be able to:

Obtain the owner’s approval in advance.
Gather estimates.
Order materials.
Reserve the appropriate vendors.
Plan the work around the expected turnover.
Reduce the number of days the property sits vacant.
Prepare the home for stronger marketing and potentially higher rent.

Turnover periods are already busy. The more we can plan before the keys are returned, the better positioned we are to complete the work efficiently.

Documentation Protects Everyone

Memories are not always reliable, particularly when several years have passed between move-in and move-out.

Photographic inspection records create a clearer timeline.

They can help show whether a condition was present previously, whether it became worse over time, whether a repair was completed, and how the property was generally maintained during the tenancy.

That documentation is helpful for property owners, but it can also be helpful for responsible tenants. When a resident is taking excellent care of a property, our inspection photos reflect that too.

We are not only documenting problems. We are documenting stewardship.

Can a Property Be Inspected Too Often?

Yes.

Routine inspections should have a legitimate property-management purpose. Visiting a home constantly, providing inadequate communication, or using inspections to pressure a tenant can damage the landlord-tenant relationship and may create legal concerns.

More inspections are not automatically better inspections.

The right schedule should provide meaningful oversight while respecting the resident’s privacy and use of the home. For our portfolio, quarterly inspections have allowed us to stay informed without turning routine oversight into a constant intrusion.

There may also be circumstances when an additional inspection is appropriate, such as:

Following up after a substantial repair.
Confirming that a leak or moisture issue has been resolved.
Rechecking a documented lease concern.
Inspecting after a major storm.
Evaluating a property before renewal or turnover.
Checking a vacant property.

Those visits should still be purposeful, documented, and properly communicated.

What Happens After the Inspection?

An inspection has little value when the information is never reviewed or acted upon.

After we inspect a property, our team organizes the photos and documents any concerns we observed. Maintenance items can be submitted for review and coordination. Lease concerns can be addressed through the appropriate process. Recommendations can be shared with the owner.

Not every observation requires immediate work.

Some items need prompt attention. Others can be monitored. Certain cosmetic improvements may make more sense during the next turnover. Part of professional property management is helping an owner distinguish between those categories.

The inspection gives us the information needed to make that decision.

Why Quarterly Inspections Matter to Me

I developed our quarterly inspection process because I never wanted a KNR owner to feel like no one was watching over their investment.

Property management cannot be done entirely from behind a desk.

Reports, rent collection, leasing, and accounting are all important, but someone still needs to walk through the property, look under the sinks, notice the water heater, listen to the tenant, and see how the home is holding up.

We care about our properties, but we also care about the people living in them.

A well-maintained home creates a better experience for the tenant. A tenant who feels comfortable reporting problems gives us a better opportunity to protect the owner. An informed owner can make better financial decisions about repairs, improvements, and future leasing.

Those things are connected.

Our inspections are not about expecting the worst. They are about staying involved enough to address the small things, recognize the good things, and prepare for what comes next.

Frequently Asked Questions About Rental Property Inspections

Is a landlord required to inspect a rental property quarterly?

Quarterly inspections are generally a management practice rather than a universal legal requirement. The inspection schedule should be supported by the lease and conducted in accordance with applicable landlord-tenant laws.

Should a rental property be inspected every three months?

For many professionally managed homes, an inspection approximately every three months provides useful oversight. The appropriate frequency may vary depending on the property’s age, condition, tenancy history, and maintenance needs.

Welcome to Fall in Gainesville, Florida

There is something special about Fall in Gainesville.

Now, before anyone gets too excited, let me clarify what I mean by “fall.”

I do not mean sweaters, crisp mornings, or watching colorful leaves float gently from the trees.

This is Florida.

In August, it is still hot enough to question every life decision that requires you to walk across a parking lot. We are still checking the radar for afternoon thunderstorms, carrying water bottles everywhere, and telling ourselves that surely the humidity will break soon.

It will not.

But even though the weather may not change much, Gainesville does.

August marks the return of school schedules, college students, football season, community events, and the familiar routines that make Gainesville feel like Gainesville.

And before long, the entire town starts turning orange and blue.

You Learn to Check the Gator Football Schedule Before Making Plans

I grew up in Tampa and was never much of a football fan.

So when I came to Gainesville, the culture surrounding Florida Gator football was completely new to me.

I had never lived somewhere where an entire community seemed to organize itself around a football schedule.

You learn quickly.

Before planning a Saturday dinner, you check whether there is a home game.

Before driving across town, you check the kickoff time.

Before wondering why traffic is backed up, you check the football schedule.

And eventually, you stop asking why everyone is wearing orange and blue because the answer is almost always the same.

Go Gators.

Football season in Gainesville is more than what happens inside Ben Hill Griffin Stadium.

Homes hang Gator flags. Businesses decorate their storefronts. Tailgates appear in parking lots, yards, and just about anywhere someone can fit a folding table and a cooler.

Homecoming is practically its own season.

Schools close. Schedules change. Businesses adjust their hours. Families make plans.

You do not necessarily have to love football to appreciate what happens to Gainesville during football season.

There is a sense of camaraderie that is hard to describe until you experience it.

Someone invites you to a tailgate. Friends gather around the television. Neighbors who barely spoke all summer suddenly have strong opinions about play calling.

Before you know it, you own an unreasonable amount of orange and blue clothing and have learned that “The Swamp” is not a reference to one of our local wetlands.

If you ever get the opportunity to attend a Florida Gators football game in The Swamp, take it.

Even if football is not really your thing.

Standing in a stadium filled with thousands of people cheering together is one of those Gainesville experiences everyone should have at least once.

Fall Festival Season in Gainesville and North Central Florida

Football may get most of the attention, but fall is also one of the best times of year to explore Gainesville and the surrounding communities.

Festival season begins.

Art festivals, farmers markets, community celebrations, outdoor events, pumpkin patches, and family activities start filling calendars throughout Gainesville and North Central Florida.

Yes, we will still be wearing shorts.

Yes, someone will absolutely be drinking a pumpkin spice latte while the temperature is 87 degrees.

We do not let these details interfere with our fall traditions.

One of the things I have come to appreciate most about living here is how many different communities and experiences are within a short drive.

You can spend Saturday surrounded by thousands of people at a Gator football game and Sunday wandering through a small-town festival, farmers market, or local event.

There is always something nearby worth discovering.

Summer Isn't Quite Over on Florida's Nature Coast

While Gainesville is getting ready for football season, summer is still hanging on just a little longer along Florida's Nature Coast.

Scallop season continues in the Crystal River area into September.

If you have never been scalloping, add it to your Florida bucket list.

There is something pretty special about spending the day on the Gulf, jumping into clear water, searching through the seagrass for scallops, and coming home tired, sunburned despite your best efforts, and already talking about when you can go again.

Living in North Central Florida gives us the best of several worlds.

We have the energy and traditions of Gainesville.

We have small towns and communities with their own personalities and festivals.

And within a relatively short drive, we have the springs, rivers, and Gulf waters of the Nature Coast.

That is something I do not think we appreciate often enough.

August Is a Fresh Start

August is busy.

For those of us in property management, “busy” may be putting it mildly.

There are move-ins, move-outs, maintenance requests, parents, college students, school schedules, traffic, football weekends, and approximately 437 things that everyone needs done before Friday.

Or at least it feels that way.

But underneath all the busyness, August has always felt like a fresh start.

Families settle back into routines.

Students begin new chapters.

Businesses prepare for another season.

People move into new homes and become part of new neighborhoods.

And our community starts coming alive again.

Whether you were born and raised in Gainesville, moved here years ago, recently relocated to North Central Florida, or are just beginning to discover this part of the state, I hope you take some time this fall to enjoy where we live.

Accept the invitation to a tailgate.

Visit a local festival.

Try a restaurant you have driven past a hundred times.

Explore one of the small towns surrounding Gainesville.

Spend a day on the water.

Go to a game in The Swamp.

And wear a little orange and blue.

Even if football has never really been your thing.

You may be surprised how quickly Gainesville gets to you.

From Move-Out to Move-In: How We Prepare Homes for New Residents

One of the questions we hear most often from both owners and incoming tenants is:

"What happens between move-out and move-in?"

The answer is: quite a lot.

At KNR Property Management, our goal is simple. We want owners to protect and preserve their investment, and we want incoming tenants to walk into a home that is clean, functional, and ready for a fresh start.

Moving can be stressful enough. A smooth turnover process helps make the transition easier for everyone involved.

Step 1: Move-Out Inspection

Once a tenant vacates the property, our team conducts a detailed inspection of the home.

During this inspection, we evaluate the overall condition of the property and identify any items that need attention before the next resident moves in. This includes everything from paint touch-ups and cleaning needs to maintenance concerns and safety items.

Our goal is to ensure the home is ready for its next chapter while also documenting the property's condition accurately and fairly.

Step 2: Maintenance and Repairs

After the inspection, our maintenance team gets to work.

Depending on the condition of the property and how long the previous resident lived there, we determine whether the home needs paint touch-ups or a full repaint.

As a general rule:

If the home was fully painted before move-in and the resident occupied the property for two years or less, touch-ups are often sufficient.
If there is significant wear, fading, or the home has been occupied for a longer period, a full repaint may be recommended.

While on-site, our maintenance team also checks:

Doors and locks
Windows and screens
Light fixtures
Electrical outlets
Smoke detectors
Plumbing fixtures
Drains and water flow
Visible leaks

The goal is to catch small issues before they become larger and more expensive problems down the road.

Step 3: Carpet Cleaning and Flooring Review

Next comes flooring.

If the property contains carpet, we arrange for professional carpet cleaning whenever appropriate. Flooring is one of the first things people notice when entering a home, and fresh, clean flooring helps create a welcoming environment for incoming residents.

Step 4: Exterior Touch-Ups

The outside of the property matters just as much as the inside.

Before a new tenant moves in, we typically arrange for a general review of:

Lawn condition
